Do Massage Therapy Gift Certificates Help Cash Flow? The Numbers
A massage therapy gift certificate program brings cash in early, but US unclaimed property law decides what happens to the money when nobody redeems.
What to take away
- Massage therapy gift certificate sales bring cash in on day one and create a liability that sits on your books until the service is delivered.
- Sell 100 certificates at $100 each in December and you collect $10,000. Square's in-person rate of 2.6% + 10 cents takes about $270. Net cash is $9,730, but the $10,000 liability remains.
- Most US states treat unredeemed gift certificates as unclaimed property, and the dormancy period varies by state, commonly somewhere between three and five years.
- A paper certificate, a plastic gift card and a digital gift card carry different breakage, tracking and compliance profiles.
- None of the three options solves the core problemyou cannot spend redeemed revenue twice, and the labor is still owed.
- Track every certificate by number, issue date and redemption date. That record is what keeps you compliant when a state asks.
What is being compared
A clinic that sells certificates is choosing a delivery format. The money is the same. The operational consequences are not.
This article compares three formats. Paper options include Avery printable gift certificates, Canva templates and Vistaprint printed certificates. Plastic options include Square Gift Cards, Clover Gift Cards and Shopify Gift Cards. Digital options include Square, Vagaro, Mindbody, GlossGenius and Fresha. Acuity Scheduling, Jane App and GiftUp also sell digital gift cards.
Each format changes how you record the sale, how a client redeems it, and how you handle money that is never redeemed.
The cash-flow appeal is real. A clinic that sells $2,000 in certificates in December has $2,000 in the bank in December. Sell 100 certificates at $100 each in December and you collect $10,000. Square's in-person rate of 2.6% + 10 cents takes about $270. Net cash is $9,730. The $10,000 stays a liability until the service is delivered.
That gap is where US law matters. State unclaimed property statutes generally cover gift certificates and gift cards. They set a dormancy period after which the balance is presumed abandoned. Reporting and remitting requirements follow.
A 1 to 5 percent breakage range is a common planning assumption. On a $10,000 batch, that is $100 to $500. In states that require remittance, that money is not yours to keep.

Paper, plastic, and digital gift certificate options
Paper gift certificates: Avery, Canva, Vistaprint
A printed certificate with a serial number, an issue date and a stated value. It is the cheapest format to start and the easiest to sell at a front desk.
Avery printable gift certificate paper, 12 sheets per pack, typically sells for $10 to $15. Canva offers free gift certificate templates. Vistaprint quotes 25 printed certificates at a typical range of $20 to $40, depending on paper and quantity.
The weakness is record keeping. If a client loses the paper, you have no reliable way to confirm the balance unless your log is current. If someone photocopies it, you may not catch the duplicate.
Plastic gift cards: Square, Clover, Shopify
A stored-value card processed through a terminal or point-of-sale system. Redemption data lives in the system rather than in a paper log.
Square lists custom physical gift cards from about $1 per card. Clover gift cards require a Clover POS system, and card prices depend on the reseller. Shopify gift cards work with Shopify POS and Shopify Basic at $39 per month.
Setup costs more and requires hardware or a processor relationship. For a single-chair clinic, the fixed cost may not pay back quickly.
Digital gift cards: Square, Vagaro, Mindbody, GlossGenius, Fresha, Acuity, Jane
Sold through your booking platform and delivered by email. Redemption ties directly to the client record, which makes breakage reporting easier.
Square Appointments is free for individual users. Vagaro plans start at $30 per month per user. Mindbody Starter is around $139 per month. GlossGenius Standard is $24 per month. Fresha is free for core booking, with card processing at 2.29% + 20 cents. Acuity Scheduling Emerging is $20 per month. Jane App Balance is $54 per month.
The trade-off is platform dependence. If you change booking systems, confirm in writing how existing balances transfer. Our review of massage therapy software for 2027 covers what to ask vendors about data portability.
Where each one wins
Paper wins for a clinic with no booking software and low volume. If you sell twenty certificates a year at a front desk, Avery paper and a log are enough.
Plastic wins for a clinic that already runs a terminal and wants a physical product that feels like a retail gift. Square and Clover fit that setup, and the cards suit walk-in retail traffic.
Digital wins for any clinic with online booking. Square, Vagaro, Mindbody, GlossGenius and Fresha tie redemption to the client record. That data is what you need if a state later asks about abandoned balances.
Whichever format you choose, record the sale date and the redemption date for every certificate. A missing redemption date is the single most common gap in a small clinic's records.
What none of them solve
The shared limitation is that none of the three options converts a certificate into delivered revenue until the client books.
You have the cash. You still owe the labor, the room time and the supplies. On the $10,000 batch, you hold $9,730 after Square fees.
You still owe 100 hours of therapist time. At $30 per hour, that is $3,000, before room time and supplies. If a client redeems a $120 certificate in a full month, you have sold a discounted future appointment and displaced a full-price one.
- Record the sale as a liability, not as earned revenue.
- Set a calendar reminder 60 days before your state's dormancy period ends.
- Check your state treasurer or unclaimed property office for the current reporting rules.
- Reconcile outstanding balances at least quarterly.
- Decide in advance whether you will honor expired certificates voluntarily.
Certificate Recordkeeping Checklist
- Every certificate has a unique number
- Issue date and redemption date logged
- Outstanding balance report runs quarterly
- State dormancy period is documented
Example: a two-year certificate backlog
A hypothetical single-therapist clinic in a state with a five-year dormancy period sells $3,000 in digital gift cards through Square or Vagaro over eighteen months. Roughly $400 goes unredeemed.
Under the state's unclaimed property law, that $400 stays a liability until the dormancy period runs, after which the clinic may need to report and remit it. The clinic that logged every issue date can produce that figure in an afternoon. The clinic that did not is reconstructing it from email receipts.
